All, registration is now open for the Past Chairs for Amsterdam - please see the below (and read everything thoroughly before you get started):
-
I STRONGLY urge you to get a policy of travel insurance to cover your flights, your registration fees and your hotel reservation. A trip to Europe is not cheap, and travel insurance can protect you - here is a direct, first person account of this. During Michael Gelfand's year, Sheri and I were scheduled to go to his meeting in Berlin following by a river cruise down the Rhine. As a result of illness, we could not go. For a $401 travel insurance premium, I got back EVERTHING - the cost of our flights (business class), the hotels that could not be cancelled, and the river cruise, among other items. It was worth every penny.
-
You will first be registering for the Executive Council meeting events as described in the Brochure - I have attached a new version of the Brochure, as we found a few inconsistencies in pricing of some of the optional tours between Thursday and Saturday and have corrected them. Go to https://b-com.mci-group.com/CommunityPortal/Registration/TFB2020/INDIVIDUAL.aspx (the registration portal operated by our destination management company, Ovation Holland) to register for the events. If you have problems with the registration portal, DO NOT CALL MARY ANN OR ME TO GET YOURSELF UNLOCKED! Send an email to rpptl2020@mci-group.com<mailto:rpptl2020@mci-group.com>.
-
WARNING!!! DANGER!!! Once you have started the Ovation registration process, you need to complete the process and pay for what you sign up for - if you leave before completing the registration, your account will be locked (and it will take time to unlock it, since the portal is managed in Holland and not The Florida Bar). DO NOT CALL MARY ANN OR ME TO GET YOURSELF UNLOCKED! - if you get locked out, send an email to rpptl2020@mci-group.com<mailto:rpptl2020@mci-group.com>.
-
As part of the registration process with Ovation, you will be setting up an online account with a username and password - keep track of this, you will need it later! Also, after you complete your registration, you will receive an email from Ovation to confirm your account and email address - please be sure to respond promptly.
-
I have been asked whether it is possible to sign up for some, but not all, of the events covered under our set fee - unfortunately, we cannot do this, as there was not a practical way, given pricing, to create an a-la-carte menu for these events.
-
Also, for clarity, because of the tremendous interest shown in attending this program, you are only permitted to register 1 person to accompany you. If somehow the registration system permits you to register more than 1 accompanying person, we will contact you to ensure that we are cancelling the registration for the correct person.
-
After you have completed your registration and made your payment, you will receive a confirming email from Ovation for your registration, and that email will also contain your link to the Hotel Okura registration website.
-
Since we are booking so far out, we have successfully reached an agreement with the Hotel Okura to avoid having to provide room night deposits for your reservation - yay! However, please specifically note the cancellation time frames in paragraph 9 below, as the Hotel Okura will be charging your credit card on file as applicable if you cancel after the dates shown.
-
Please remember that because of the tremendous interest that has been shown so far by Executive Council members in going to Amsterdam, you are limited to booking 1 room at the Hotel Okura. We will be monitoring the rooming list and will take action as necessary if you book more than one room within our room block.
-
So that everyone is crystal clear about the deadlines for cancelling or modifying your events registration (yellow-highlighted items below) and/or your hotel reservation (blue-highlighted items below), we provide the following chart (BUT note the one exception to this chart in paragraph 12 below):
[cid:image001.png@01D57AA9.955C8D30]
Please calendar these dates - don't say that you did not know that a deadline has passed!
-
If you need to cancel your Executive Council events registration, you MUST send an email to Ovation's registration team at rpptl2020@mci-group.commailto:rpptl2020@mci-group.com. Mary Ann cannot assist you with any changes to your events registration - it MUST BE DONE WITH OVATION.
-
If you desire to make changes to your Executive Council events registration (i.e., not a cancellation), log into the registration portal (https://b-com.mci-group.com/CommunityPortal/Registration/TFB2020/INDIVIDUAL.aspx) using the username and password that you established at initial registration. Please note that there is limited (and perhaps no) ability to change your optional tours once you have signed up.
-
Further to my September 27th email, we have been able to secure an optional Saturday morning (April 4th ) tour of the Anne Frank House for 35 people. If this tour fills up before you make your reservation, you can obtain your own Anne Frank House tickets. The Anne Frank House website advises that 80% of the tickets for a particular day are released exactly two months in advance at noon Amsterdam time (which 6 hours ahead of Eastern time) - the remaining 20% become available at 9:00 am on the subject day. You should plan to sign up for an optional tour on Thursday afternoon, Saturday morning or Saturday afternoon and if you are not able to get into our tour, you will later be able to try to obtain your own Anne Frank House tickets by going to www.annefrank.orghttp://www.annefrank.org. If you later obtain your own tickets, you will need to send an email to Ovation's registration team at rpptl2020@mci-group.commailto:rpptl2020@mci-group.com. Ovation will then issue a credit for the tour that you signed up for and which is being replaced with your own Anne Frank House tickets. Please note that this is the only exception to the above chart. If you do not submit proof of your Anne Frank House tickets by March 1, 2020, you will not receive a refund for the tour that you had originally signed up for.
-
If you need to change or cancel your Hotel Okura room reservation, YOU (NOT YOUR ASSISTANT!) MUST EMAIL MARY ANN OBOS AT MOBOS@FLORIDABAR.ORG WITH YOUR REQUEST (NO TELEPHONE CALLS OR VOICE MESSAGES WILL BE ACCEPTED!). YOU CANNOT CANCEL OR MODIFY YOUR RESERVATION BY CALLING OR EMAILING THE HOTEL. THIS IS THE ONLY WAY THAT WE CAN MANAGE OUR ROOM BLOCK. IF YOU SOMEHOW MANAGE TO MODIFY YOUR HOTEL OKURA RESERVATION WITHOUT GOING THROUGH MARY ANN, WE WILL HAVE YOUR CREDIT CARD CHARGED BY THE HOTEL OKURA. DON'T TRY TO ARGUE THAT YOU DID NOT UNDERSTAND THIS!
-
Finally, because of the tremendous interest shown in the Amsterdam meeting, we are not opening this registration (and hotel reservations) to non-Executive Council members of the RPPTL Section at this time. Accordingly, please do not forward this e-mail, and do not provide the hotel reservation group code that you will receive, to non-Executive Council members; again, we will be monitoring the event registrations and hotel reservations and, as we have done in the past, we will cancel any improper event registrations and hotel reservations that are made in this regard (and, as we have done in the past, if we find that you provided the information to the people who should not have signed up, your event registrations and hotel reservations will also be cancelled). We are limited by cost, expense and the locations of our events, but if there is availability after sufficient time for sign-up by Executive Council members, we will open it to general Section members.
If you have any questions, please do not reply to this email (as it goes into listserv limbo), but instead send an email to Mary Ann (mobos@floridabar.orgmailto:mobos@floridabar.org) and we will get back to you.
Thanks. Rob

Happy late Friday afternoon to all. This is the e-mail that you have been waiting for - we are ready to unveil the Amsterdam meeting! First, before you do anything else, please click on this link - https://www.magisto.com/video/IhguUgldKVI9HTkPZjp_CXk - to see a great video that Mary Ann put together - it should get you very excited about the trip! After you have watched the video, please see the attached Brochure, which provides the details of the meeting and schedule. It is possible that some times may get adjusted, but the locations, tours and events are confirmed!
As you will note, we are including within the set fee the majority of your events, being:
- Welcome reception on Wednesday evening at the Hotel Okura;
- Trip to the Keukenhof tulip gardens on Thursday morning, together with lunch;
- Thursday evening reception and dinner at the Dutch West Indies House;
- Friday trip to The Hague for the Executive Council meeting and CLE program (spouses/guests will be able to choose from 2 tours while the meetings are occurring), followed by lunch and 3 museum tours in the afternoon;
- Friday evening reception at the Hotel Okura (dinner will be on your own);
- Saturday lunch at the Hotel Okura (in between the morning and afternoon excursions);
- Saturday evening gala reception and dinner at the National Maritime Museum; and
- Hospitality on Thursday and Friday evenings.
All transportation is included within the set. Unfortunately, we are not able to provide separate pricing for each of the above.
The optional tours will be on Thursday afternoon, Saturday morning and Saturday afternoon (transportation is again included). Two important notes regarding the optional tours:
- It is possible that changes to the optional tours will need to be made as we get closer to our trip, but we will be working to minimize those changes.
- If a particular optional tour does not have a sufficient number of people signing up to justify the cost of the tour, we may need to move you to that same tour but at a different time or day - again, we will do our best to minimize inconvenience and change.
You will also see reference to a Saturday morning tour of the Anne Frank House - yes, I know that I beat into your heads that we could not get a group tour there, but lo and behold, we were able to make it work! This tour is likely to sell out quickly, so we will still be incorporating the concept that I previously referenced, namely that if you are able to secure your own Anne Frank House tour tickets subsequent to event registration and produce them to our destination management company, they will refund your cost for the tour that you had signed up for and which your Anne Frank house tickets will be replacing. More details on this will follow.
It is our plan to open the online registration portal (which is operated by our destination management company - it is not the Florida Bar's registration portal) for registrations on Friday, October 11th at 12:00 EDT - this gives you 2 weeks to digest this information and make your decisions about the optional tours. If any delay becomes necessary as the registration website is being finalized, I will let you know as soon as I can. When we open up registration, we will provide information as to the cancellation policies with the email that provides the link to the registration website.
As with our in-state programs this year, you will first register for the meeting events, and then you will receive a confirmation e-mail from our destination management company together with a link to book your room at the Hotel Okura (note that this will be by separate email). Please remember that if you are staying at the Hotel Okura, your breakfast is included within the price of your room.
Because of the tremendous interest that has been shown so far by Executive Council members, you are limited to booking 1 room at the Okura. We will be monitoring the rooming list and will take action if necessary if more than one room is somehow booked within our room block. Also, again because of the tremendous interest shown, we are not opening this registration to non-Executive Council members of the RPPTL Section at this time. I hope you are as excited as Sheri and I are for this trip. We think that it will be an absolutely wonderful time . If you have any questions, please feel free to send an e-mail to rfreedman@carltonfields.commailto:rfreedman@carltonfields.com or mobos@floridabar.orgmailto:mobos@floridabar.org (do not reply to this e-mail, as it has been sent out through the listserv and will not make it to me or Mary Ann).
Thanks, and have a great weekend!

Subject: RE: RPPTL - Amsterdam 2020
-
If you need to change or cancel your Hotel Okura room reservation, YOU (NOT YOUR ASSISTANT!) MUST EMAIL MARY ANN OBOS AT MOBOS@FLORIDABAR.ORGmailto:MOBOS@FLORIDABAR.ORG WITH YOUR REQUEST (NO TELEPHONE CALLS OR VOICE MESSAGES WILL BE ACCEPTED!).

- Welcome reception on Wednesday evening at the Hotel Okura;
- Trip to the Keukenhof tulip gardens on Thursday morning, together with lunch;
- Thursday evening reception and dinner at the Dutch West Indies House;
- Friday trip to The Hague for the Executive Council meeting and CLE program (spouses/guests will be able to choose from 2 tours while the meetings are occurring), followed by lunch and 3 museum tours in the afternoon;
- Friday evening reception at the Hotel Okura (dinner will be on your own);
- Saturday lunch at the Hotel Okura (in between the morning and afternoon excursions);
We are limited by cost, expense and the locations of our events, but if there is availability after sufficient time for sign-up by Executive Council members, we will open it to general Section members.

Accordingly, please do not forward this e-mail to non-Executive Council members; again, we will be monitoring the registrations and will have to cancel any improper registrations that are made in this regard. We are limited by cost, expense and the locations of our events, but if there is availability after sufficient time for sign-up by Executive Council members, we will open it to general Section members.
I hope you are as excited as Sheri and I are for this trip. We think that it will be an absolutely wonderful time . If you have any questions, please feel free to send an e-mail to rfreedman@carltonfields.com<mailto:rfreedman@carltonfields.com> or mobos@floridabar.org<mailto:mobos@floridabar.org> (do not reply to this e-mail, as it has been sent out through the listserv and will not make it to me or Mary Ann).
Thanks, and have a great weekend!
Regards, Rob
